Notes regarding The Data Protection Act (DPA), Privacy and Electronic Communications Regulations (PECR) and The General Data Protection Regulations (GDPR)
Holyport Residents Association and the General Data Protection Regulations
Subsequent to publishing this statement on 14th May 2018, a few Members or Friends of HRA have expressed concern that maybe the regulations require positive responses from recipients confirming that they give consent for their names and addresses to be held by us, and that they consent that we may communicate with them by email. We have therefore further reviewed the regulations and modified this in red here and below, clarifying our understanding. Should, in the future, any legislative body wish to dispute our understanding, then we think it best that we be seen to have stated our opinion at this time; 15th May 2018.
New regulations in force from 25th May 2018 seek to protect and safeguard personal data, protecting the user against its unlawful processing and transfer.
We understand that The Privacy and Electronic Communications Regulations (PECR) are for Marketing purposes and as we do no marketing these particular regulations do not apply to us.
The Holyport Residents Association (HRA) has from its outset not passed on to any other party any data about Members or Friends of HRA, and will not do so.
Cookies are not used on the HRA website.
Communications from HRA are by email sent "Blind Carbon Copy (bcc)" so individual email addresses are not passed on to other recipients.

On Monday 14th May 2018 all Members and Friends were contacted by email confirming the Chairman's address and email address, and were asked to advise if they no longer wish to be contacted, or if they no longer wish to be members, or wish their details to be removed from our contact list.
As all persons on our list have either requested to be members, or have in the past indicated their willingness to be contacted, we deem it to be unnecessary for anyone to actually reply to give consent, as consent has already been given. Thus, if anyone does not reply we will continue to contact them as before. Should anyone wish to stop receiving mails they should respond to a mail saying so.
At the time of membership application, Members or "Friends of HRA" will have given or will give their address and email address. Physical addresses are required only to confirm that the person is within the geographical area we cover as stated on the HRA website. "Friends of HRA" are those who stated that they wished to receive our emails but not be members.
Many Members and Friends joined our mailing list in February / March 2014 when we distributed door to door, survey forms in connection with the RBWM Local Plan that included Lodge Farm and the land known as "The Triangle" as possible areas for development. We had also included the same survey on our website, and many joined us through that.
It is possible that unknown to HRA, data is collected via our website by unknown entities such as the website host or perhaps Google Analytics. We have no control over any such data collection.
Hyperlinks on our website are provided for your use or not as you decide. These are only links to other sites or web-pages that convey relevant information. We have no control over what such a third party may do to for instance record that you visited their web-site.
You may request from us what information we hold about you - it will be only what you have already given, or the email messages you have sent to us. If there are errors you can ask and have these corrected or deleted.
No marketing processes are used by us. We do not sell or pass on any information about you.
Should anyone decide to leave the HRA or not wish to be contacted further, we will delete their details from our file. This also applies to "Friends of HRA"
Should you wish to complain about how your data is being handled, you have a right to complain - first please to us - and then if not satisfied, to the ICO whose address is;

Holyport Residents Association Geographical Area

Applications for membership of HRA are accepted from the area bounded by the red line on the adjacent map. This area is basically the Holyport Ward within Bray Parish, but it extends to include the Windsor Road, which is within the Bray Ward. Anyone aged 18 years or over and living within this area may join the HRA.
Most of the homes in this area are actually part of the settlement of Maidenhead, not the Holyport settlement. Holyport itself is shown on this web-site under "Holyport - Holyport Conservation Area Boundary" where an RBWM map can be accessed.
The area to the South East is covered by The Oakley Green & Fifield Residents Association

Joining the Holyport Residents Association
Membership is currently free of charge. This could change depending on experience and amount of expenditure incurred. It has remained free for approximately 8.5 years as of February 2023.
As membership numbers are important, please consider including husbands, wives, partners and children over 18, and please advise your friends and neighbours about this association.
